Ship Magento Orders

 

StarShip allows you to import and ship Orders from your Magento store in just a few easy steps. You can batch process multiple shipments with one click, or load an Order and enter more shipment detail before processing it. You can also ship partial orders. Once you ship an order, StarShip creates the corresponding shipment in Magento, and writes back shipment and tracking information to both the order and the shipment.

 

 

Enter the Order Number or Browse for the Order

Only Orders that have been invoiced in Magento will be visible and available for import into StarShip.

If you are entering the Order Number, type it into the eCommerce Magento Order field and press the Tab key. The order will populate the Ship screen.



 

If you want to browse through a list of orders, click the magnifying glass :


 


 

Select the Order(s) and then choose either Process Selected or Load Document :

Use the available filters to narrow down and sort your search results. Click Add Filter and then enter your specific criteria. Certain filters also allow you to select from a list of existing values.

Note : You can click the "Group Related Orders" to view related orders grouped by the Ship To Address, or both the Ship To Address and Shipping Method. The grouping method is based on the "Related Document Criteria" setting in eCommerce Options.

 

 

 

[Process Selected]

This option will process one or multiple Orders without user intervention. You can select to Ship/Process the shipment with or without printing labels and documents. You can also define what StarShip should do if an error occurs. For more info, see Batch Settings.

StarShip will create the associated Magento shipment, write shipment and tracking information back to the Magento Order(s), and update the Order Status to "Complete".

 


 

 

[Load Document]

Populates the Order on the Ship screen, where you can enter additional shipment details, as described below.

 

 

Select the Carrier/Service, if not already populated from the Magento Order.



 

Packing the Shipment

You can pack the shipment manually, by clicking the Packaging View button. In the Packaging View, drag and drop the items into first level packaging (for example, Box). StarShip can also pack your items automatically based on preferences.

Packaging

For Parcel shipments, you would enter package detail for existing packages. Remain in the Packaging View and navigate through the packages to weigh them or add package level details on the Packaging tab.

 

 

For Freight shipments, StarShip populates the bill of lading using line item and packing information. Bill of Lading settings in Freight Setup allow you some flexibility regarding how StarShip converts item packaging information into the bill of lading body. Typically, similar items with the same class are grouped under one general description. The commodity description may be edited on the BOL tab.

You can also manually enter the BOL.

 

 

Enter Shipment Detail

You can select or modify the shipping method  from the Carrier and Service fields on the Shipment tab, and enter or modify the billing information, if necessary.

 Enter any shipment detail that was not populated, such as Package or Shipment Options. You can also Rate Shop to select a carrier and service.

 

 

Rate the Shipment 

Rate the shipment with the currently selected carrier by clicking Rate from the File menu or by pressing Ctrl + Alt + R. To rate shop, click the Rate Shop button in the toolbar or press Ctrl + Alt + S.  Select a carrier from the Rate Shop tab. Ready Date and Time (Optional)

Enter the shipment's Ready Date (and Pickup Time, for Freight) on the Shipment tab.




 

 

Save the shipment

There are two options for saving shipments.

 

 

Order Write-Back

 

Order Information

 

Status

When an order is fully shipped, StarShip will set the Order Status to "Complete"

 




Carrier Information

Shipping & Handling Information is updated in the Payment & Shipping Method.


 

 

Comments

The Notes that are set up in StarShip Write-Back Setup are written back to the Order Comments and the Comments History.

 

 

 

Shipments

 

Shipment is created

A Magento shipment is created each time you ship against an Order.

 

 

Partial Shipments

For multiple shipments against the same Order, a separate shipment is created for each one in Magento.

When you only partially ship items from an Order, StarShip will change the order status to "Processing". Items that were shipped are marked as "Shipped". When the remaining items are shipped, StarShip will append the new shipment information to the Comments section (if Notes write-back is enabled) and mark the entire order as "Complete".


 

 

 

Both sets of Notes are appended to the Order Comments and Comments History.





 

Tracking Number

The tracking number is written back to the Payment & Shipping Method, under Shipping and Tracking information.

Note : If you change the imported Shipping Method in StarShip and ship with a different carrier/service than originally on the Order, the carrier/service is updated in the Carrier grid but not under the "Track this shipment" link.

 

 

 

 

Voiding Shipments

When you void a shipment that was processed in StarShip, the following occurs :

 

In order to completely void a Shipment and update the Order in Magento, you can do so with a third-party extension, or you can issue a credit memo.
